Design and development of a student attendance monitoring system

BACKGROUND

Presently we use a manual attendance monitoring system in our university. As we all know there are a lot of problems with the manual students’ attendance monitoring system. Some of the problems are given below.

  • Payment of an extra attention
  • Disturbance to both lecturer and students
  • Possibility to misplace the attendance sheets
  • Difficulty of analyzing
  • Difficulty to collect attendance from a large number of students

That implies a requirement to design and develop a students’ attendance monitoring system considering the most of the issues related to this kind of a system.
Organizations where manual attendance recordings are done have to spend a lot of time, cost and effort for recording, maintaining and utilizing the time and attendance data of employees. This requires the time-office to record the IN/OUT timings, track leave, and then use this data for generating payroll at the end of every month. It thus becomes a tedious and a repetitive process, with a huge scope for human error.

Many private companies even in Sri Lanka use computer based access control systems depending upon their requirement. These systems generally use either a bar code or biometric authentication [finger print or retina] to detect the employee. But still they have not been able to fully satisfied present requirements.

PROJECT OBJECTIVE
  • Find the most appropriate system to the existing problem
  • Replace present manual attendance recording system by an advance system with facilitating easy analysis, Minimizing time consumption and cost incurred.

METHODOLOGY

Literature survey

Identifying existing techniques used in present attendance monitoring systems.
  • Situations and conditions where those systems are possible to be placed.
  • Why they cannot be used for our purpose.

Requirement analysis
  • Identify user requirements.
  • Identify the limitations of the systems which already exist.

Development of the system architecture
Development of the device to get the intended purpose done as shown in the following follow chart.



Implementation
  • Make the device to be available for the usage

Testing and commissioning
  • Account for all the possible errors and make arrangements to recover them.
  • Make it more user friendly

Further improvements
  • Look for further improvements depending up on the literature survey and up coming suggestions

EXPECTED OUTCOME

Fully functioning student attendance monitoring system facilitating easy analysis of collected data while providing an opportunity to add additional features.
